A quick reference for eligibility, reimbursements, documentation, and how to get started.

› Eligibility & Participation

We partner with licensed therapists, counselors, psychologists, and group practices in the U.S. who provide outpatient therapy (in-person or telehealth).

Hold an active, unrestricted license in your state of practice.
Provide standard consent, privacy, and financial policies to clients.
Agree to our simple reimbursement terms and cadence.
Optional: Sliding scale or trauma-informed care experience appreciated.

› How The Mind Card™ Works with Your Practice

Clients approved for The Mind Card™ receive a code that subsidizes up to $50 per session for a set number of sessions (e.g., up to 6). You bill the client as normal; we reimburse the subsidy after your claim submission.

Applies to private-pay sessions or insured copays.
Client shows their Mind Card code at checkout; you note it on the receipt/ledger.
Submit one quick claim per session for reimbursement (see below).

› Session Amounts & Limits

Standard subsidy is up to $50 per eligible session. The number of sessions covered is stated in the client’s approval notice (commonly up to 6).

Provider charges their normal rate or insurance copay.
Subsidy cannot exceed the client’s out-of-pocket for that session.
Unused sessions expire per the client’s award window.

› Claims & Reimbursement Process

Reimbursement is simple and ACH-based.

Complete the short online claim form (secure link provided at onboarding).
Attach basic session info including: member #, date, client initial or phone, amount, type of session.
Claims are typically batched and paid on a regular cadence (within 7-10 days).
ACH setup collected during onboarding; update anytime via provider@themindcard.org.

› Documentation Requirements

Keep documentation minimal and consistent with your current workflow.

We do not require progress notes; keep those in your EHR.
We do require basic session info basic session info including: member #, date, client initial or phone, amount, type of session..
Telehealth is eligible when legal in the client’s state and compliant with your license.

› Telehealth, Insurance, and Networks

The subsidy works across private-pay and insured scenarios.

Private-pay: subsidy is applied to the client’s cash rate.
Insurance: subsidy offsets the client’s copay/coinsurance after EOB (if you collect at checkout, note the Mind Card code).
Out-of-network/no insurance clients subsidy when the client pays you directly.
